Job Responsibilities
In this role, you will organize/coordinate office procedures and support the office with high levels of customer service in administration. Your role is to create and maintain an environment where our employees can do the best work of their lives-- in an effective, professional, and safe environment. Ultimately, the Operations Coordinator should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations. Title: Operations & Admin Executive Location: Wang Jiao Plaza, Shanghai Working Hours: 10am-7pm Starting date: As soon as possible Report to: COO • Providing administrative, work support and directly collaborating with the department head on organizational and strategic topics with COO • Together with COO coordinate office activities and schedules; develop and recommend office policies, procedures and systems; that will ensure smooth office operations. • Assist in internal recruitment procedures including position advertisement, search qualified candidates in the methods of talents pool, Internet or cold call, recommendations, telephone screening etc. • Act as the point of contact regarding labour legislation issues and Support budgeting and bookkeeping procedures. • Provide guidance and training as required to lower level, interns, new employees, temporary employees, etc. • Managing other core administrative activities (space planning, new-hire onboarding, organizational charts, supply ordering) • Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements); • Make sure that our office is a comfortable and highly motivated environment to work in. • Plan in-house or off-site activities, such as parties, celebrations and conferences • Perform cash management and bank reconciliation activities in accordance with company policy and procedures. • Help COO liaise between Global offices when it comes onboarding, employee exits, training sessions and company-wide events. • Execute site indirect spend purchasing e.g. office supplies, snacks, general supplies & ensure accurate and timely reporting • Develop engaging online content and drive traffic to our company pages • Innovate and present new marketing platforms and strategies • Keep abreast of new social media sites, web technologies, and digital marketing trends; implement these new technologies in developing campaigns and update current campaigns to include new information • Act as a gatekeeper while receiving guests, courteously providing and receiving information
Job Requirements
• Must be fluent in Chinese, both written and oral • Excellent written and oral communication skills in English is a must • Excellent project management skills – ability to manage multiple projects at once • Basic knowledge of Adobe Photoshop, InDesign, Content management and SEO is a plus • Good knowledge of social media platforms including Facebook, Twitter, Instagram, WeChat, Weibo and LinkedIn is a plus. • An ability to work independently while also contributing to a high-performing, global team; • Excellent spirit as demonstrated by high level of collaboration and a willingness to go the extra mile, supplemented by curiosity, energy, maturity and self-confidence • Strong interpersonal and communication skills with ability to work with people at all levels within the organization, as well as with candidates and clients • Focused on effective teamwork with the capability to thrive in an autonomous environment; • Creative thinker, flexible and high integrity • Customer focus and hospitality attitude is key;
